Follow the 3-2-1 Backup Rule and Never Lose Your Data Again

When we apply the 3-2-1 backup rule, we always have a copy of our data safe. A nice peace of mind in these days of frequent data loss.

The 3-2-1 rule is ingenious, yet so simple to perform. It consists of 3 steps:

Have at least 3 copies of your data;
Store these copies on 2 different media;
Keep 1 copy off-site (easily done on the cloud).

Rule #1. Have at least 3 copies of your data

This first step of the 3-2-1 backup rule is based on this calculation:

The probability of one device failing is 1/100.
The probability of 2 devices failing at the same time: 1/100 × 1/100 = 1/10,000
The probability of 3 different devices failing at the same time: 1/100 × 1/100 × 1/100 = 1/1,000,000.
This minimizes the risk of losing data.

This becomes second nature once you develop a backup update routine.

Rule #2. Store data on at least 2 different media

The 3-2-1 backup rule is based on another important premise: your data is less safe if you store it on the same media. Just imagine what would happen if it were to fail!

So consider using other devices, including:

An external hard drive;
A USB key;
A network attached storage (NAS) server;
A private cloud.

Most importantly, keep this in mind: even if your backups are saved on multiple hard drives on a single storage server, the risk of loss is higher. In fact, when a disk fails, it is not uncommon for another disk to fail afterwards.

Rule #3. Keep an off-site copy

Finally, the last 3-2-1 backup rule assumes that accidents happen so quickly. This is why the physical separation of your backups is elementary to ensure the protection of your data.

We don’t wish for misfortune, but if a fire, flood, theft or other disaster were to occur, you’ll be glad you kept a device in another location.

Choosing the private cloud is a great way to provide an extra level of security for your backups, especially for SMBs. Unlike the public cloud, where your data is accessible by a third party, you retain control and can share this information with only a small number of users.
